How do I run and report casual activities (Play! Sessions)?

Play! Pokémon Stores can run casual activities, which are also known as Play! Sessions. These activities can be casual matches, friendly tournaments, trading nights, educational sessions on how to play the Pokémon Trading Card Game, coloring activities for children—whatever would be a good fit for your local community!

You can find a guided walkthrough about how to schedule and report Play! Sessions below.

Create a Play! Session

Log in to Play! Tools and select your League name, then navigate to the Play! Sessions tab. From there, select the Add Play! Session button and fill out the form. You can create a single session or a session that recurs weekly.

You can also manage your Play! Sessions, depending on the session’s status.

  • Active Play! Sessions are sessions occurring now, with a two-hour buffer before and after the scheduled time. Active sessions can be reported or canceled, but you may not edit the event details.
  • Scheduled Play! Sessions occur in the future. You may cancel them or edit the details, but you cannot report attendance.
  • Completed Play! Sessions occurred in the past. This includes past sessions that did not have any players reported. You have up to seven days after the scheduled date to report attendance, but you cannot make other changes.

Reporting

From Play! Tools, select the Report button on an active session or on a completed session that is still within the seven-day grace period. You can add players in four different ways.

  • Look Up: Enter a Player ID number. This will display the name and year of birth associated with that number in the Play! Pokémon database. Select Confirm if the information matches the player or Cancel if it does not match.
  • Scan: This requires access to a QR code scanner or webcam. It allows you to enter players by scanning the QR code generated by the Play! Pokémon Access app.
  • Add from My Players: This displays a list of players who have previously participated at your League during the current tournament season. Check the box next to each player attending the current session and select Confirm.
  • Create New Player: This allows you to issue a Player ID to new player. This is typically done by using one of the IDs provided by downloading a Player ID booklet.

Reporting Play! Sessions and other League activities is a crucial part of the Play! Pokémon program. Consistently reporting your players may grant your store eligibility for additional Play! Pokémon events, and reporting directly impacts your store’s allocation of League support materials such as Play! Pokémon Prize Packs. There are two important reporting windows to be aware of.

  1. Play! Session reporting typically occurs automatically in real time as you check in players to the Play! Session, but if you need to make any edits or corrections, you have seven days from the Play! Session date to make any adjustments. Note that you may not create a Play! Session with a date in the past.
  2. Monthly reporting opens on the first of the month and closes on the last day of the month. This reporting is what Pokémon uses to determine eligibility for certain programs and is based on your Play! Session reporting.
